HR Service Jobs is seeking a dedicated and detail-oriented Support Assistant to join our team. The Support Assistant will be responsible for providing administrative support to ensure efficient operation of the office. This role involves a wide variety of tasks including communicating with clients, handling correspondence, managing schedules, and ensuring the smooth running of day-to-day activities. The ideal candidate will be proactive, organized, and capable of working independently in a fast-paced environment.

Key Responsibilities

  • Administrative Support: Provide general administrative and clerical support including mailing, scanning, faxing, and copying.
  • Client Communication: Serve as the first point of contact for clients, addressing inquiries via phone, email, and in-person.
  • Schedule Management: Maintain and manage executives schedules, including arranging meetings and appointments.
  • Document Preparation: Prepare and edit correspondence, reports, and presentations.
  • Data Entry: Accurately enter and maintain data in various systems.
  • Office Management: Ensure the office environment is well-organized and supplies are maintained.
  • Record Keeping: Maintain hard copy and electronic filing systems.
  • Event Coordination: Assist in the planning and execution of company events and meetings.
  • Support Projects: Provide support for various company projects and initiatives as needed.

Required Skills and Qualifications

  • Education: High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary will be a plus.
  • Experience: Proven experience as a support assistant or in another relevant administrative role.
  • Technical Skills: Proficiency in MS Office (MS Excel, MS Word, and MS PowerPoint, in particular).
  • Communication Skills: Excellent written and verbal communication skills.
  • Organizational Skills: Strong organizational and time management skills with the ability to prioritize tasks.
  • Interpersonal Skills: Ability to work well with a variety of individuals and handle multiple tasks simultaneously.
  • Problem-Solving Skills: Strong problem-solving abilities and attention to detail.

Experience

  • At least 2 years of experience in a similar support or administrative role.
  • Experience in handling a wide range of administrative and executive support-related tasks.

Working Hours

  • Full-time position with typical working hours from 9:00 AM to 5:00 PM, Monday through Friday.
  • Flexibility to occasionally work beyond regular hours as required.
