Events Coordinator

We are currently seeking an Events Coordinator who will be a highly motivated, highly organized individual who will be a part of a team responsible for the planning, coordination, execution and post-event follow up of fundraising and mission-related events. The ideal candidate is a collaborative team player who has strong project management skills, excellent written and verbal communication skills, with exceptional attention to detail.

Responsibilities include but are not limited to:

  • Support the Events team in planning, organizing, coordinating, promoting, and executing special events, including the Annual Gala, Walk & Wag, Tour-For-Life, Global Pet Adoptathon, Team Animal League events (such as the NYC Half and Full Marathons), and other fundraising and mission-driven initiatives.
  • Provides administrative support for events, including preparing and tracking check requests, ordering event supplies, maintaining inventory of donated items, managing mail merges and mailings, packing and unpacking event supplies and auction items, and updating PowerPoint decks and presentations.
  • Assists the Events team with coordinating and tracking event plans, timelines, run-of-show documents, and staffing schedules.
  • Research and help solicit companies for in-kind donations and event vendors.
  • Supports Walk & Wag initiatives by assisting participants with fundraising and website inquiries, sending weekly walker communications (using Canva and Constant Contact), tracking weekly contest winners, and mailing incentives to virtual participants.
  • Collaborate with the Events Manager to develop and schedule weekly fundraising email campaigns.
  • Work cross-functionally with internal departments (Communications, Shelter Operations, Web, and others) to help promote events and represent the organization’s brand in a positive, professional, and consistent manner in accordance with approved guidelines and style standards.
  • Assist with notetaking and tracking action items during pre- and post-event meetings and debrief sessions.
  • Support auction outreach, tracking, and preparation of donated items for the Annual Gala. Assists with post-event follow-up communications with vendors, sponsors, participants, and guests.
  • Participate in all assigned events, including those occurring after regular business hours, which may be in New York City.
  • Perform other related duties as assigned.

Qualifications Required:

  • Bachelor’s degree preferred.
  • A minimum of 1–2 years of experience, including internships or volunteer experience, in event coordination, planning, or a related field.
  • Ability to build positive professional relationships and communicate clearly and courteously with internal teams and external partners.
  • Strong problem-solving skills with the ability to work independently and adapt in a fast-paced, deadline-driven environment.
  • Excellent organizational skills with strong attention to detail.
  • Basic event planning and project coordination skills; experience managing timelines and logistics is a plus.
  • The ability to collaborate with and coordinate the efforts of team members and volunteers in support of event execution.
  • Strong written and verbal communication skills.
  • Professional phone etiquette and customer service skills.
  • Proficiency in Microsoft Office (Word, Excel, and PowerPoint); familiarity with Constant Contact preferred. Experience with InDesign and event management platforms such as OneCause is a plus.
  • Strong time-management skills with the ability to prioritize multiple tasks effectively.
  • Ability to manage multiple projects simultaneously while responding to changing priorities and deadlines.
  • Availability to work occasional evenings and weekends as required by event schedules.
  • Comfortable working around dogs and cats.
  • Ability to lift and carry items weighing 25 pounds or more.
  • Interest in nonprofit work or prior nonprofit event experience preferred.

Salary: $30.00 per hour
